Types of Roles and their Permissions

Roles follow a hierarchy:

Permissions build on top of each other. The higher your role, the more access you have. This means you automatically have all the abilities of the roles beneath you, along with extra permissions specific to your role.

For example, an Org Leader has all the permissions of an Org Admin, Org Messenger, Team Leader, and Member.

Organization Leader

What they can see:

Everything. All people, profiles, teams, messages of teams they're apart of and data in the command.

What they can do:

Everything. Grant all permission levels, view and update all profile data, manage all teams, send messages to all teams and people, post on the bulletin board and team announcements, view all responses, and export any and all data in the command.

Org Leaders cannot change their own organization role. This must be done by another Org Leader or Org Admin.

Organization Administrator

What they can see:

  • All messages sent to teams they belong to

  • All user profiles

  • All teams in the command

What they can do:

  • Invite new users

  • Remove, suspend, wipe users from the organization

  • Assign users to any team

  • Create, update, and delete teams

  • Update profile data and roles for all users

  • Respond to messages sent to them through a team they belong

  • Send direct messages and chats to members that are a part of the teams they lead (but not RFIs, Status Checks, or Broadcasts)

This does not change the permissions required for bulletin board posting (only Org and Team Leader levels can post to the bulletin board/Team Announcements or message a team).

Org Admins cannot modify their own organization role.

Organization Messenger

What they can see:

  • Messages sent to teams they belong

  • All Hands message response details

  • Bulletin Board for All Hands

What they can do:

  • Respond to messages sent to them in teams they belong

  • Send messages to the All Hands team and teams they lead

  • Upload files (for distribution to all hands, bulletin board)

  • Update Bulletin Board for all hands + all the teams they lead

  • Direct message any member within the app (or multiple) that are part of the command.

This does not change the permissions required for bulletin board posting (only Org and Team Leader levels can post to the bulletin board/Team Announcements or message a team).

As an Org Messenger, your access for profile information is the same as a member. Unless you are also a leader of a team, you can only see information in the people screen.

Team Leader

What they can see:

  • Messages sent to teams they belong

  • Messages & responses for teams they lead

  • Profile information for those who are part of a team they lead

What they can do:

  • See & update all messages and responses sent to a team they lead

  • See & update responses by people in their teams for all hands messages

  • See all messages sent to them for response

  • Send messages to teams they lead

  • Upload files

  • Update profile info for those in teams they lead

  • Add & remove users to their teams

  • Invite, remove, suspend, wipe AOK access from users in their teams.

  • Direct message any member within the app (or multiple), that's part of the command.

This does not change the permissions required for bulletin board posting (only Org and Team Leader levels can post to the bulletin board/Team Announcements or message a team).

As a Team Leader, you can see the details of any team leader-level permissions for those in the team(s) you lead. You can grant team leader level permissions to others.

Member

What they can see:

  • Messages sent to teams they belong

  • Their profile

  • Bulletin Boards for teams they are a member

What they can do:

  • They can answer messages sent to them

  • They can see and update their own profile

  • Access files sent to them previously in the app

  • Remove themselves off any team they are a part of

  • Direct message any member within the app (or multiple), that's part of the command.

This does not change the permissions required for bulletin board posting (only Org and Team Leader levels can post to the bulletin board or message a team).

All members can see a high-level note of permissions/roles an individual has on the people screen of the app.

How to update role permissions for members

Only users who have registered for the app may become Team Leaders, Org Leaders, Admin or a Messenger.

As an Org Leader, Org Admin or Team Leader you can update member permissions by following these steps:

Under the People screen, search the individual you want to edit or update. You can search by name or email.

Then tap on the arrow next to their name. If you do not see an arrow next to their name, you might not have the required org role to access member profiles.

Once in their Profile, scroll down till you see Organization Roles. Tap on the drop down then Edit next to their current role.

Choose the role(s) you'd like to give them. Once selected, tap Save.

To make someone a Team Leader:

The person must already be in the team you're looking to make them a leader for and you must have permissions either within the org or the team to grant access for team leadership.

Tap on Teams in the bottom navigation bar.

Search for the team you are creating a leader for and tap on the three vertical dots (⋮) next to the name of the team. Then tap Manage team.

Find the person you wish to make a Team Leader from the team list and tap the three dots next to their name.

Select Promote to Team Leader, then tap confirm.

How to Remove Yourself from a Team or Command

If you no longer wish to be part of a team or the your command, you can remove yourself by following these steps:

To leave a Team:

Tap on Teams in the bottom navigation bar.

Click the three dots next to the name of the team you're assigned to.

Choose Leave Team. Confirm when prompted.

Note: If you're the only team leader, you will be asked to assign a new leader before leaving.

To leave a Command:

Tap on More in the bottom navigation bar. Then tap Settings.

Select Leave Organization. Confirm when prompted. This will immediately remove you from your organization.

⚠️ Leaving an organization will remove your access to all teams, messages, and data associated with that org.
