By completing this onboarding process, your command will:
Have a complete and accurate user roster in AOK
Ensure every user has the correct access and permissions
Confirm all users complete required training before active use
Step 1: Create the Command Roster
Build a complete and accurate list of everyone in the command who requires access to AOK.
Use our template, located at the end of this guide, to compile a roster containing the following details for each individual:
Full name
Phone number
DOD ID
Rank
Department name
Best Practices
Verify spelling and contact details
Use a standardized format (excel or google sheets)
Include all members who will interact with the command in AOK
Step 2: Add Users to AOK
Create accounts in AOK for all members listed in the command roster.
Confirm each member is successfully created in the system
Inform members of an invite text message automatically sent by AOK containing an invite link to register in the AOK app.
Step 3: Assign Command Roles & Permissions
Ensure each member has the correct access level based on their responsibilities.
Assign AOK Organization Roles to each member
Align permissions with job function, department, and level of responsibility
Confirm that administrative and leadership roles are limited to appropriate users
Step 4: Distribute and Mandate Training
Ensure all users are trained and prepared to use AOK effectively and compliantly.
Send required AOK training to all users
Clearly communicate training deadlines and completion requirements
Mandate completion prior to full platform access
Tracking & Compliance
Monitor training completion status
Send reminders to users who have not completed training
Step 5: Onboarding Completion Review
Confirm the command is fully onboarded and operational.
Checklist:
☐ All members are added to AOK
☐ Correct roles and permissions are assigned
☐ Required training is completed by all users
